Check-in in Kuching, Sarawak

On-site check-in for ushers and door teams

Eventkaki includes a dedicated check-in mode for ushers. A PIN unlocks scan and search tools so door teams can mark arrivals without a full admin login, then undo a tap if someone was marked in error.

Usher-friendly

A PIN unlocks the scanner. Volunteers do not need an Eventkaki user account.

QR and search

Scan a ticket or search by name when a guest arrives without the email open.

Live arrival status

Mark guests arrived, reverse mistakes, and keep the door list current.

How door check-in works

Ushers open a check-in URL, enter a PIN issued by the organiser, and land on a scan screen. They can look up a guest from a QR code or search, then mark arrival. The same pattern is used for dinner events.

  • PIN-protected check-in, with logout when a shift ends
  • QR lookup from registration or dinner tickets
  • Name search as a fallback
  • Arrive and undo actions that update the guest record immediately

Designed for phones at the door

Check-in is a focused mobile workflow, including a web app manifest so it can sit on a volunteer’s home screen for the night.

  • Simple scan and search interface
  • Rate-limited PIN attempts to reduce guessing
  • Works alongside table plans and RSVP status for dinners

What this changes for the team

  • Door teams can check guests in without sharing the admin password.
  • Arrivals are recorded as they happen, not copied from paper later.
  • A wrong tap can be undone before it becomes a seating problem.
